Challenge

Conveyancing firms run complex, multi-party property transfers across dozens of stages, documents, and deadlines — usually on spreadsheets and email, with no single source of truth and no visibility for the clients waiting on registration.

Solution

We built Milestones, a multi-tenant conveyancing platform on Laravel and Vue that models the whole transfer lifecycle — configurable workflows, Deeds Office integration, automated intake, a client portal, and live analytics — in one system.

Milestones (MilesTrac) is a property-transfer and conveyancing platform we built for RVC. Moving a property from sale to registered title is a long, document-heavy process with many parties — buyer, seller, banks, agents, the Deeds Office — and dozens of stages that have to happen in the right order. Firms were tracking all of it in spreadsheets and inboxes. We built one system that models the entire transfer lifecycle, integrates the Deeds Office, automates intake, keeps clients informed, and puts live analytics on top — for multiple firms and geographies at once.

RVC is built around milestones.

Seven years ago, I started an Excel spreadsheet to track and manage my conveyancing matters. Everything we did revolved around milestones, what needed to happen, when it needed to happen, who needed to do it and what had to happen next. That simple spreadsheet became the foundation of the way we think about our business.

Today, that same philosophy sits at the heart of Milestones, the operating system we have built with Tjaart and Spike Reality Development.

What makes Tjaart exceptional is that he didn't simply come in and develop software for us. He took the time to genuinely understand our business, our conveyancing environment, our processes, our people and, most importantly, the way we think. He took something that started as an Excel spreadsheet, that further evolved into the spine of our business and helped us turn it into something spectacular.

Milestones can create a matter and then manage its entire life cycle through the system. Every milestone, event, requirement and workflow is brought together to ensure that every person involved in a matter knows what needs to happen, when it needs to happen and what comes next. It brings every personality in our business together around one objective: getting the matter finalised as quickly and efficiently as possible.

At the same time, it allows us to communicate with all the relevant parties, maintain visibility across thousands of matters and generate the business intelligence we need to understand and manage our operation.

But perhaps the most powerful part of Milestones is its flexibility. Because our business is built around milestones and workflows, we can create virtually any workflow we need. That gives us something incredibly valuable as a growing business: the ability to scale without losing control.

We can forecast thousands of matters based on their individual milestones, events and requirements. We can see what is coming, identify bottlenecks, allocate resources and make better decisions because the business intelligence is built into the process itself.

That is a remarkable transformation from where we started.

Tjaart has not just developed a system for RVC. He has helped us translate the way we think about our business into tech. He has become a genuine tech partner to us, someone who understands that software isn't the objective. The objective is to build a better business.

And this is by no means the end of the journey. We will continue developing Milestones as RVC grows, our processes evolve and our ambitions become bigger. Just as importantly, we will continue developing our relationship with Tjaart and Spike Reality Development. We see them as a long-term part of our journey, not simply a development company we appointed for a project.

I have worked with Tjaart for the past 24 months, and I can honestly say that what he and Spike Reality Development have helped us create with Milestones is one of the most important pieces of infrastructure in our business. Modelling the whole transfer as a configurable workflow

The transfer is the heart of the system, and it connects to everything — parties, documents, statuses, clearances, the conveyancing firm, and the geography it sits in. Rather than hard-code one firm's process, we built the workflow engine to be model-backed: stages, statuses, transitions, and the document types required at each step are all configurable per firm and per country, defined as data rather than baked into the code.

That means a firm can define its own conveyancing process — an estate transfer has different milestones and documents to a sectional-title sale — and Milestones tracks each transfer against the right template. Every required document has a slot and a status, so at any moment you can see exactly what's outstanding and what's blocking registration.

The workflow isn't hard-coded — each firm and country configures its own stages, statuses, and required documents.

A client portal for the people waiting on a transfer

The people most anxious about a transfer — the buyer and seller — usually have the least visibility into it. We built a secure client portal so they can follow their own transfer's progress without needing a full staff account.

Access is deliberately locked down: portal links are hash-based and gated by a one-time PIN — six digits, hashed, short-lived, with a lockout after repeated failures and a timing-safe comparison — so a client sees their transfer, and only their transfer.

Analytics and forecasting on top of the operational data

Management needs more than a task list. We added a CubeJS analytics layer that reads the operational data and powers the dashboards: transaction types, monthly property transfers, value trends, price-range and geographic distribution, and transfers by status — all filterable and broken down by period.

The same data feeds forecasting, so a firm can see where its pipeline is heading rather than only where it's been. The analytics service is JWT-gated and runs as its own sidecar, keeping the reporting workload off the request path staff use to move transfers along.

Enterprise hardening for real-world corporate networks

This is software law firms rely on daily, often from locked-down corporate Windows environments, so the unglamorous reliability details mattered. Security headers are applied globally — HSTS and a content-security policy in production — and sessions are encrypted.

We also invested in cache-busting that holds up in the field. Between Vite content-hashed bundles, Inertia's asset-version detection, strict no-store headers, and a chunk-load-error guard, the app defeats the aggressive corporate proxies and TLS-intercepting antivirus that routinely serve users stale JavaScript after a deploy.

The details that don't demo — headers, sessions, cache-busting — are what keep a firm's staff working after every deploy.
